Automatic Billing
The L.A.W.S./Pro Automatic Billing function automatically
creates and posts a work in process transaction to a specific matter based on firm entered criteria.
Please review the detailed example below for an in depth review of the Auto Bill process.
Example: The firm desires to charge a client a monthly flat fee of $500.00
for services to be rendered at the start of each billing month. Set up the automatic billing transaction
as follows:
Select the desired matters "Auto Bill" action to display the
automatic billing setup screen. The client and matter are automatically displayed. Enter
the following information:
-
Next Bill Date: Specifies the date that the entered
transaction will automatically be added to the clients work in process account. In this example,
we would enter the first day of the upcoming month.
-
Billing Type: Specifies whether billing before
the service is rendered (Pre-bill), the service is rendered (Post-Bill). In this example we are
billing prior to the performance of the service performed so we would specify (Pre-Bill).
-
Billing Period (Months): Specifies number of months being billed.
In this example, we are billing monthly, so the response would be "1". If we chose to bill quarterly,
we could enter "3".
-
Bill Amount: Specifies the amount to charge the matter.
In this example, we would enter $500.00 since we are billing monthly. If we chose to bill quarterly, the
amount would need to be increased to $1,500.
-
Billing Attorney: Specifies the attorney who will be associated
with the created transaction.
-
Bill Code: Specifies the bill code whose description
will automatically be inserted into the transactions description.
-
Description: Identifies the description to be associated
with the created description.
Each morning, L.A.W.S./Pro reviews all transactions in the
Automatic billing system and generates work in process entries for transactions where the "Next Bill Date"
equals the current system date. Once created, the "Last Bill Date" is automatically recorded and the
"Next Bill Date" is incremented appropriately.
